1. Introduction & Booking Terms
Introduction
These Terms and Conditions apply to Skate Escape: Bali, a retreat hosted by KaleidoSkate Academy and facilitated by Amy Rainbow (“the Host”). By placing a deposit and booking your place at the retreat, you (“the Participant”) agree to the terms outlined below.
Retreat Dates: Monday 21st September 2026 to the Sunday 27th September 2026 (hereafter referred to as “Retreat Dates”)
Retreat Location: The retreat will be held at Seseh, Bali. The exact location, directions, and arrival details will be provided to participants in the Retreat Welcome Pack after full payment is received.
Booking Confirmation:
To secure a place on the retreat, participants must:
- Pay a non-refundable deposit as outlined during registration.
Once your deposit has been received, your place is considered confirmed, and these Terms and Conditions come into effect.
2. Payment Terms, Deposits & Cancellations
Deposit:
A non-refundable deposit of £900 GBP is required to confirm your booking. This deposit secures your place and is subject to the cancellation terms below.
24-Hour Grace Period:
If you change your mind within 24 hours of placing the deposit, you are entitled to a full refund.
Deposit Refund Conditions:
If you cancel more than 180 days before the retreat start date, £250 GBP of your deposit will be refunded.
Otherwise, you deposit is non-refundable.
Retreat Pricing & Packages:
Total retreat costs vary depending on the package selected. Final pricing details will be shared during the booking process.
Balance Payments:
The full remaining balance (minus deposit) is due prior to the retreat start date. If payment is not received by this date, your spot may be forfeited without refund.
Installment Plans:
Instalment plans are available. Details will be provided upon request or during the registration process.
Cancellation & Refund Policy (Beyond Deposit):
- Up to 180 days before the retreat: Full refund of any amounts paid, plus a 250 GBP partial deposit reimbursement.
- Up to 90 days before the retreat: Full refund of any amounts paid, excluding the deposit.
- Up to 60 days before the retreat: 50% refund of any amounts paid, excluding the deposit.
- Less than 30 days before the retreat: 25% refund of any amounts paid, excluding the deposit.
Refunds will be issued in GBP and may take up to 14 business days to process.
3. Travel, Insurance & Health Requirements
Travel & Visa Arrangements:
All attendees are responsible for booking and covering the cost of their own travel, including international flights and any necessary visas. While KaleidoSkate Academy is not responsible for arranging your travel, we will provide assistance with visa documentation and paperwork upon request.
Airport Transfers:
Airport pick-up and drop-off are included in your retreat package. To coordinate this, all participants must submit their flight details and accommodation arrangements (if arriving early or staying later) no later than 14 days prior to the retreat start date.
Travel Insurance (Mandatory):
All participants are required to purchase comprehensive travel insurance that covers:
- Medical emergencies and repatriation
- Trip cancellations
- Personal injury (including sport-related injuries)
- Lost or stolen items
Proof of travel insurance must be submitted to the Host no later than 14 days before the retreat. Failure to do so may result in your spot being forfeited.
Waivers & Liability:
All participants will be required to sign a Liability Waiver before attending any classes, activities, or excursions. This is a mandatory condition of participation. The waiver covers skating activities, excursions, and general retreat participation. Refusal to sign will result in cancellation without refund.
Medical Disclosure:
Participants must disclose any pre-existing medical conditions, physical limitations, mental health considerations, or allergies that may impact their ability to safely participate in the retreat. This information helps us prepare responsibly and ensure your safety. All medical information will be kept confidential.
4. Code of Conduct & Participant Responsibilities
Respect & Inclusion:
This is a woman's only retreat.
Participants must be over the age of 25.
Skate Escape: Bali is built on kindness, connection, and community. By joining the retreat, you agree to treat fellow participants, retreat staff, and local community members with respect and dignity. Regardless of race, identity, sexuality, religion, ability, or background.
Behavior & Removal:
Participants who behave in a way that puts others at risk, causes harm, or severely disrupts the experience of the group may be removed from the retreat without refund. This includes:
- Aggressive or threatening behavior
- Harassment or discrimination
- Refusal to comply with safety guidelines or instructions from staff
Alcohol Use:
Alcohol is allowed during the retreat. You are welcome to enjoy a drink during meals or social events, just do so responsibly.
If alcohol use leads to unsafe, disrespectful, or disruptive behavior, action may be taken at the Host’s discretion.
Smoking & Vaping
Smoking and vaping are permitted in outdoor areas. Please be respectful of others and avoid smoking near those who have asked not to be around it. Smoking is not allowed inside any indoor space, including bedrooms and bathrooms.
Shared Spaces:
While there are no official quiet hours, we ask that you remain mindful of others, especially during early mornings or late evenings. Keeping common areas tidy and respecting fellow guests’ comfort will help ensure a smooth, relaxed group experience.
5. Activities, Participation & Physical Requirements
Optional Participation:
All retreat activities, whether skating, excursions, or group events are entirely optional. Your experience is yours to shape. If at any point you feel unwell, tired, or simply need a break, you are free to skip any session or outing.
For off-site excursions, taxi transport will be arranged for any participant who wishes to return to the villa early or opt out of an activity.
Activity Modifications:
We understand that every skater and individual has different needs. While we cannot guarantee alternatives for every activity, we will do everything we can to offer modifications, support, or substitutions when needed. Please communicate directly with the retreat team if you require help or adjustments during the retreat.
Skating Level Requirement:
This retreat is designed for low-intermediate to advanced skaters only. All participants must have a confident foundation in roller skating, including the ability to skate forwards, stop safely, and maintain control in group environments.
This retreat is not suitable for beginners or those still learning basic skating fundamentals.
Safety Gear:
Safety gear is not provided. Participants are encouraged to bring their own protective equipment, such as wrist guards, knee pads, and helmets, especially if they are prone to injury or have specific safety concerns.
First Aid & Supervision:
- Amy Rainbow is fully first-aid trained, and all activities are conducted under careful supervision.
- Safety procedures and risk assessments are in place for all skating sessions and excursions.
- Multiple staff members will be present at all times during official activities to ensure support and assistance is readily available.
Injury & Illness During the Retreat:
If a participant becomes injured or unwell during the retreat and chooses or is advised to stop participating, no partial refund will be given. However, every effort will be made to ensure the guest remains as comfortable and supported as possible throughout the remainder of their stay.
In the event of gastrointestinal or similar illness, participants will be offered an optional medical-grade IV drip at no additional charge. This service is provided through a trusted local partner and is completely voluntary.
6. Media, Branding & Legal Notices
Photography & Videography Consent:
A professional photographer and videographer will be present throughout the retreat. By attending Skate Escape: Bali, you consent to being photographed or filmed during activities, classes, and events. These images and recordings may be used by KaleidoSkate Academy and Amy Rainbow for promotional purposes, including but not limited to social media, websites, advertisements, and educational materials.
If you have specific privacy concerns or restrictions, you must inform the Host in writing before the retreat begins. While we will do our best to accommodate requests, blanket removal from all footage is not guaranteed.
Brand Ownership & Intellectual Property:
Skate Escape: Bali is a retreat owned and operated by Amy Rainbow. All branding, logos, retreat concepts, and teaching materials are the exclusive intellectual property of Amy Rainbow and KaleidoSkate Academy.
Participants may not record or reproduce lessons or workshop content for public use, resale, or redistribution.
Guest Privacy:
Your privacy is important to us. All personal information shared during the booking process, medical disclosures, and in community discussions will be kept confidential and used only for the purpose of retreat logistics and safety.
Force Majeure:
KaleidoSkate Academy and Amy Rainbow are not liable for any failure to perform, or delay in performing, any obligations under these Terms and Conditions due to events beyond our control. This includes but is not limited to natural disasters, severe weather, global pandemics, government travel restrictions, acts of war, civil unrest, or other unforeseeable circumstances.
In such cases, every reasonable effort will be made to reschedule the retreat or transfer your booking. Refunds will be considered on a case-by-case basis, but are not guaranteed.
